• Packaging and any stacking restrictions.
• Airflow or load-pattern instructions supplied for the product.
• Separation requirements or prohibited co-loading.
• Seal, inspection, and documentation procedures.

Available cargo space depends on the actual trailer and the product’s loading requirements. A pallet-count estimate should not override airflow or weight considerations.

Compare the scope of the quote

Ask whether the service is dedicated, how delivery timing is defined, and what visibility will be available. Confirm waiting-time terms and how unloading charges, appointment changes, or rejected deliveries are handled.

If temperature records are required, agree on the method and availability before the shipment moves. A quoted setpoint and a complete monitoring plan are different details.

An illustrative scheduling issue

A receiver may accept refrigerated deliveries only within a reserved appointment, while the shipper’s production schedule remains uncertain. In that case, the pickup-ready time and receiving slot need to be coordinated together. An otherwise suitable truck cannot fix incompatible facility schedules.

What to do before dispatch

Share written product instructions, confirm the appointment references, verify the unloading plan, and designate a contact who can make decisions if something changes.
