FCFS vs. Appointment Freight: What the Receiving Window Really Means

First-come-first-served, often shortened to FCFS, generally means trucks are processed within a receiving or shipping window rather than at individually reserved times. It does not promise immediate service. An appointment also does not eliminate every delay. Plan around the facility’s actual process.

Clarify what the posted hours represent

Ask when trucks may check in, when the facility stops accepting arrivals, and whether the posted closing time differs from the loading cutoff. Confirm which days and departments the hours apply to.

Make sure the freight itself will be ready. A facility operating all day cannot load an order that has not been released or staged.

Estimate the effect of queues

Ask the facility for realistic handling expectations and known busy periods without treating them as a guarantee. Include check-in, waiting, loading or unloading, and paperwork in the plan.

For a shipment with another stop afterward, a broad FCFS window can still create a tight operating schedule. The carrier needs to evaluate the full sequence rather than only the driving distance.

Confirm appointment responsibilities

For appointment facilities, identify who requests the slot, what reference is needed, and whether the reservation is confirmed or pending. Share the confirmation with the parties coordinating the truck.

If the arrival estimate changes, determine who contacts the facility. A revised ETA does not automatically amend the booked appointment, and an early truck may not be accepted.

Quote using the actual service constraints

Provide the facility process, check-in cutoff, cargo readiness, and required delivery window with the quote request. Ask how waiting or a missed receiving window is handled under the booking terms.

Use a named contact at each end for exceptions. The aim is a schedule that can be executed under the facility’s rules, whether the stop is FCFS or appointment-based.
