Reefer Breakdown With Freight Onboard: How to Plan a Recovery Move

When refrigeration fails with cargo onboard, finding another truck is only one part of the response. Someone must establish what is happening to the product, whether a transfer is appropriate, and where it can be performed safely. A recovery quote is most useful when those decisions are being coordinated at the same time.

Get reliable information from the scene

Collect the truck’s exact location, driver contact, cargo description, pallet count, weight, and delivery appointment. Ask for the refrigeration alarm details, operating status, available temperature records, and the time the problem was first observed.

Distinguish the reefer’s displayed temperature from any authorized product measurements. Avoid promising the product is acceptable based solely on an equipment display.

Let the authorized product team decide disposition

Notify the shipper and receiver promptly and obtain written instructions from the person responsible for product quality or safety. They may require inspection, a specific transfer method, a revised delivery location, or another disposition.

For food requiring temperature control for safety, the FDA’s sanitary transportation framework addresses temperature-control failures and assessment by qualified personnel. Transportation availability cannot substitute for the appropriate product decision.

Define the recovery operation

Determine whether repair, a replacement refrigerated trailer, or a transfer at a suitable facility is being evaluated. Identify the handling equipment, protected space, labor, sanitation requirements, and method for preserving counts and temperature records.

If the cargo is sealed, ask who authorizes opening it. Record the seal, transfer time, condition observations, and any new seal. A replacement driver should receive the approved product and equipment instructions before loading.

Quote the whole recovery

Include the rescue location, transfer site if different, destination, timing, and required refrigeration operation. Ask whether handling, facility use, waiting, and the disabled trailer’s disposition are included or separate.

Update the receiving appointment after a realistic recovery schedule exists. Preserve the original transport and exception records; do not turn a disputed product condition into an undocumented handoff.
