Severe weather can interrupt a shipment even when the truck itself is operating normally. A warehouse may close, a jobsite may become inaccessible, or a receiving crew may be unavailable. A contingency plan should address the whole shipment, including where the freight can remain protected while decisions are made.

Identify the deadline and the fallback

Ask the receiver which arrival requirements are firm and what alternatives are acceptable if conditions disrupt the original plan. Record who can approve a revised date, alternate receiving site, or other disposition.

For an installation or production-critical shipment, identify how much lead time the customer needs to adjust labor or operations. A useful warning arrives before the missed appointment, not only after it.

Check both facilities before dispatch

Confirm loading and receiving status with actual site contacts. Verify whether gates, docks, unloading equipment, and staff are available under the current conditions.

A facility’s normal hours do not establish that it is open during a disruption. Reconfirm the receiving plan when conditions or the truck’s estimated arrival change.

Give the carrier room to make safe operating decisions

Ask the carrier to evaluate the route and safe operating conditions. Do not treat the shortest route or an urgent deadline as a reason to continue through an unsafe situation.

If a different route is proposed, have the responsible parties review equipment suitability, restrictions, timing, and any changed charges. Communicate the revised arrival to the receiver and confirm acceptance.

Plan protected holding and restart

Identify an approved holding or storage option appropriate to the cargo, including any temperature, security, or handling requirements. Do not send the truck to an unconfirmed facility simply because it is nearby.

Agree on update intervals and the person who authorizes the next movement. Preserve relevant product-condition records and confirm the new appointment before resuming delivery. For future quotes, disclose critical deadlines and the cargo’s holding requirements so contingency options can be discussed early.
