Hazmat Freight Quotes: The Shipment Details Needed Before Carrier Selection

A hazardous-material shipment needs to be identified before a carrier is selected. Calling the product “chemicals” or sending only a total weight does not give a broker enough information to evaluate suitable transportation. The shipper’s trained personnel should establish the classification and required shipping information.

Start with the confirmed transport description

Provide the applicable identification number, proper shipping name, hazard class or division, packing group where assigned, quantity, and packaging description. Identify special concerns such as temperature controls or incompatible materials.

An SDS can help the discussion, but it should not be treated as a substitute for the required transport classification and shipping documents. Ask the responsible shipping team to resolve uncertainty before tendering the load.

Explain packaging and facility needs

Describe drums, totes, cylinders, cartons, or other packages, including count, dimensions, weight, and any returnable equipment. Tell the broker whether the load needs enclosed or open-deck equipment and why.

Disclose pickup and delivery restrictions, PPE requirements, loading arrangements, and appointment rules. The carrier must evaluate the assignment against applicable qualifications, equipment, and operating requirements.

Coordinate documents before dispatch

Make sure the required shipping papers and emergency response information are prepared by the responsible party. Identify who supplies any required marks, labels, or placards and who verifies readiness at pickup.

PHMSA’s guidance covers shipping descriptions, packaging, hazard communication, and training. A transport quote does not establish that a shipment has satisfied those requirements.

Keep quote assumptions explicit

Send the lane, shipment date, cargo details, and required service along with the confirmed hazardous-material information. Ask what documentation the carrier needs to review before accepting.

If the product, package type, quantity, or classification changes after quoting, have the move reviewed again. A quote for one hazardous-material shipment should not be reused for a different one simply because the pallet count is similar.
