How Long Is a Freight Quote Valid? Know When to Reconfirm the Rate

A freight quote is based on a shipment and a set of assumptions at the time it is prepared. It may have an explicit expiration or require confirmation before booking. Ask about validity when you receive the quote, especially if the freight is still being produced or the shipping date is uncertain.

Separate an estimate from an accepted booking

Ask whether the price is a planning estimate, a firm offer subject to stated terms, or an accepted transportation booking. Confirm what action is required to reserve service.

A price response should not be assumed to hold a truck indefinitely. Obtain the booking confirmation and pickup plan once the shipment is authorized and ready to move.

Read the assumptions attached to the number

Check shipping date, route, equipment, cargo dimensions, weight, loading hours, delivery requirements, and additional services. Identify whether fuel and other listed charges are included.

Compare quotes for the same scope. A lower number for a flexible pickup is not necessarily comparable to a price for a specific appointment and extra handling.

Reconfirm when the shipment changes

Notify the broker if production moves the ready date, packaging changes the dimensions, weight increases, or a facility adds a requirement. Ask for written confirmation of the revised price and service.

For example, a quote for freight ready on Tuesday may need review when the order moves to Friday afternoon. The change affects the available operating plan, not just the date typed on the paperwork.

Make the approval process quick and clear

Provide an accurate request, identify who can approve it, and respond within any stated validity period. If you need more time, ask what can remain open and what must be quoted again.

Before dispatch, reconcile the accepted quote, final cargo details, and facility schedule. Saving the original quote is useful, but it does not resolve later changes unless the provider has accepted them.
