Analytical instruments can be compact but exceptionally sensitive to vibration, tilt, temperature changes or improper shutdown. A lab replacing or relocating equipment should not select a truck by weight alone. The manufacturer or qualified service technician should define how the instrument is prepared before a carrier is booked.
Obtain a transport-ready configuration
Determine the exact model, serial number, packed dimensions and gross weight. Ask the equipment owner whether moving parts must be locked, reagents removed, fluids drained or components stabilized under manufacturer instructions. Don’t assume a working instrument can be placed on an ordinary pallet without a designated transport package.
Separate any regulated samples, consumables or materials that require independent classification and shipping paperwork. The freight provider needs to know exactly what is being tendered.
Match protection to the documented sensitivity
Clarify approved orientation and whether a custom crate, anti-vibration skid, climate protection or shock/tilt monitors are required. If specialized air-ride equipment is requested, identify that requirement at quoting rather than after dispatch. Packaging and carrier choice work together, but neither guarantees a vibration-free trip.
Provide the heaviest individual piece and approved handling points. A box with no safe fork access may require a specialist to move it onto the trailer.
Arrange a controlled lab handoff
Confirm building security, dock appointment, receiving personnel, freight elevator and path from loading area to lab. If commissioning by a service technician is necessary, schedule the delivery to match that availability. Identify who will inspect the crate before it is opened.
For high-value instruments, clarify declared value, applicable liability limits, any requested cargo protection and custody documentation before releasing the shipment.
