“Dairy freight” is not one uniform product category. Shelf-stable packaged items, refrigerated milk products, cheese and cultured foods can have different temperature, packaging and handling requirements. Before choosing a reefer, the processor or quality team should set the exact specification for the load.
Match equipment to the actual dairy product
Record the product name and whether it is refrigerated, frozen or shelf-stable under its labeling and shipper instructions. Provide the agreed operating temperature range, required monitoring, handling-unit dimensions and total weight. Do not use a single generic dairy temperature for products with different requirements.
Ask whether pallets may be stacked and how the containers tolerate pressure. Cartons, bottles, cases and tubs can require different stabilization methods.
Verify the trailer and loading process
Have the parties clarify trailer cleanliness, preconditioning if necessary, previous-cargo restrictions and handling practices under the shipper’s food-safety procedures. Shippers should state sanitary specifications in writing where applicable. A refrigerated truck’s setpoint does not eliminate the need for proper product handling and dock discipline.
The shipping facility should know whether the carrier must record seal numbers or a temperature reading before departure, and which records the receiver expects.
Coordinate with the distributor or retailer
Confirm receipt cutoff, appointment reference, delivery order, unloading arrangements and available cold storage. A reefer arriving after receiving hours may face a costly and disruptive reschedule. State the actual deadline when obtaining quotes.
If the shipment contains incompatible products, have the quality team approve or reject co-loading. Transportation personnel should not improvise food-safety decisions at the dock.
