Customer Requires Live GPS Freight Tracking? Book a Carrier That Can Comply

A shipper may be ready to book freight but unable to use a carrier that cannot provide the required shipment visibility. Retailers, manufacturers and high-value cargo owners sometimes make location tracking a contractual condition. The important distinction is between a carrier able to share a compliant live position and a provider willing only to send occasional manual check calls.

Define the required tracking method

Ask the customer whether tracking must run through a specified portal, accepted ELD integration, approved mobile app, trailer device or broker-managed system. Confirm the acceptable update frequency, who is permitted to view the data and whether tracking must begin before arrival at the shipper. ‘GPS required’ is too vague to determine acceptance when the consignee imposes a specific vendor or integration.

Confirm carrier acceptance before dispatch

The assigned motor carrier and driver should know what technology they must use and consent to any applicable data sharing. Confirm that the actual carrier can activate the required method and that it works for this shipment, not just other fleet vehicles. Do not represent periodic location texts as continuous integration if the customer requires direct live feeds.

Separate visibility from service commitments

A moving map is not proof the trailer has checked into the pickup gate, loaded, passed an appointment, maintained cargo temperature or delivered. Define status milestones—dispatched, checked in, loaded, departed, delivery ETA revised and POD received—alongside location tracking. Temperature records, seals and special compliance documents may be separate requirements.

Plan outages and exceptions

Determine who will call whom if an app stops reporting, cellular coverage is lost or driver permission expires. Share a documented manual escalation path and the customer’s late-notification cutoff. For high-value freight, avoid posting sensitive real-time shipment data or customer security details publicly.

Booking checklist

  • Exact GPS technology or portal required
  • Reporting frequency and approved viewer access
  • Assigned carrier’s real ability to participate
  • Pickup/delivery milestone and exception rules
  • Separate temperature/security requirements if any

Frequently asked questions

Is driver phone tracking equivalent to a trailer device?

Not always. It depends on the customer’s requirement and what the technology actually tracks.

Can a freight broker arrange loads with tracking requirements?

A brokerage can seek a compliant carrier, but actual compatibility and tracking activation must be confirmed for the specific movement.
