Return Freight Shipping: Build a New Pickup Plan for Returned Goods

Returned freight often looks different from the original outbound shipment. Packaging may be missing, the product may be assembled, and the pickup location may lack warehouse equipment. Treat the return as a new shipment with its own cargo and handling requirements.

Confirm return authorization

Obtain the return reference, destination, accepted item list, and receiving instructions. Verify whether the supplier accepts the goods in their current condition and packaging.

Identify who approves transport and pays the charges. A return authorization does not necessarily include transportation or permission to send additional items.

Reassess dimensions and condition

Measure and weigh the actual prepared return. Photograph the packaging and visible product condition. Record serial numbers or piece identifiers when useful.

If the original crate is gone, ask the product owner or packaging specialist to specify suitable replacement packaging. Reusing outbound dimensions can produce an equipment mismatch.

Solve pickup handling

Confirm whether the return is at a commercial dock, retail location, jobsite, or another limited-access address. Identify loading equipment and the person who will release it.

A pallet jack or liftgate has limits. The entire piece, its footprint, weight, and the ground conditions must fit the proposed method. Driver arrival does not include packing or disassembly unless those services are expressly arranged.

Plan the final acceptance

Get the receiver’s return appointment and unloading requirements. Make sure the shipment reference on the paperwork matches what receiving expects.

Quote using current packaging, dimensions, weight, condition, addresses, and loading details. Identify any inspection, handling, or storage services separately so the return does not become a second refused delivery.
