A truck can reach a retail distribution center on time and still fail to deliver if the appointment or purchase order is wrong. Plan the shipment around the retailer’s current receiving requirements and the specific facility. Rules can differ even within the same retail network.
Verify the order and location
Confirm the destination DC, purchase order numbers, shipment quantities, and required delivery window. Obtain the current routing instructions from the customer or retailer’s authorized source.
Identify whether an appointment must be requested by the shipper, broker, carrier, or another party. Make sure responsibility is assigned rather than assuming someone else has scheduled it.
Check freight preparation
Confirm required pallet type, labels, packaging, stackability, and item grouping with the retailer. Reconcile the shipment to the documents before pickup.
If the load contains several purchase orders, identify how each is separated and accessed. A correct quantity can still be difficult to receive if labels or load sequence do not match the receiving process.
Explain unloading and payment procedures
Ask about unloading services, driver responsibilities, and how any authorized unloading charge is paid and documented. Provide the carrier with facility check-in rules and required references.
Clarify whether unloading is part of the transportation quote or a separately handled expense. Do not use one facility’s past experience as proof of another facility’s current process.
Prepare an exception contact
Identify who can resolve a purchase order mismatch, late arrival, shortage, or refused delivery. Keep that contact available during the receiving window.
Request the freight quote with the confirmed appointment status, lane, cargo, and handling requirements. If the appointment changes, update the transport plan promptly; the original truck schedule may no longer fit.
