Recurring freight pricing is easier to evaluate when the provider understands the operation behind the lane. Two customers moving the same distance can have very different loading patterns and service requirements. Supply a representative shipment history rather than only origin and destination ZIP codes.
Describe normal volume and variation
Provide expected loads per week or month, shipping days, seasonality, and how far ahead orders are released. Distinguish committed volume from an estimate or aspirational target.
Include normal pallet counts, weights, equipment types, and variations. A lane with occasional oversized pieces should not be presented as a uniform dry-van assignment.
Share facility performance
Identify live-load or drop requirements, average loading and unloading times, appointments, and access restrictions. Explain how often freight is ready when scheduled.
Useful history includes actual tender timing and delays as well as rates. Consistent advance notice can make a different operating plan possible from repeated same-day requests.
Define the pricing structure
Ask about the rate period, fuel treatment, accessorial terms, capacity commitments, and conditions that trigger review. Clarify whether rates apply to each load, a defined volume program, or selected dates.
A quoted rate is not automatically a commitment to accept every shipment. Ask how tenders are accepted, how quickly the provider responds, and what happens when capacity is unavailable.
Set a review process
Track pickup performance, delivery performance, exception communication, and total billed charges. Agree on how changes in volume, cargo, or facility conditions will be communicated.
Send a lane summary and several representative shipment examples. Start with accurate assumptions, then review actual results rather than choosing a program solely from the lowest linehaul figure.
