A drop trailer allows a facility to load or unload while the tractor is elsewhere, under the agreed arrangement. It can help operations with variable loading times, but it also ties up equipment. Evaluate it as a trailer-use plan rather than a simple replacement for a live load.
Describe the operating problem
Explain whether production finishes throughout the day, outbound freight accumulates over shifts, or receiving needs more unloading time. Provide the expected loading duration and the number of trailers needed.
Identify whether the request is a single temporary drop or a recurring program. A carrier may evaluate those differently because equipment availability and repositioning are involved.
Verify the yard can support it
Confirm parking space, security, access hours, trailer positioning, and whether the facility has a yard tractor or another approved way to move trailers. Identify any requirements for landing gear support or site conditions with the responsible parties.
Clarify who inspects the trailer at each handoff and records damage or equipment issues.
Set the trailer cycle
Define when an empty arrives, when the loaded trailer becomes ready, who sends the release notice, and when the carrier collects it. Identify how an empty replacement is arranged.
If one trailer takes several days to turn, the program needs more equipment than a same-day cycle. Give the provider realistic timing rather than the fastest possible loading time.
Compare the whole program
Request terms for trailer use, included dwell, extra days, repositioning, cancellations, and any minimum volume. Separate those from the loaded transportation rate.
Confirm custody, maintenance, and applicable coverage arrangements before starting. A useful quote includes both the movement and the time the equipment remains at your facility.
