A truck can be reserved and dispatched before a shipper discovers that the load will not move. Depending on the booking terms and circumstances, a cancellation may trigger a truck-ordered-not-used charge, often shortened to TONU. Confirm those terms when booking rather than after production changes.
Identify when the shipment became a commitment
Review the accepted booking and any cancellation conditions. Ask whether terms differ before dispatch, after the truck is en route, or after arrival.
There is no single cancellation fee or notice period that should be assumed for every freight movement. The agreed service terms and the facts of the cancellation need to be reviewed together.
Give clear notice as soon as plans change
Tell the booking contact that the shipment is canceled or delayed and request acknowledgment. Provide the load reference and the reason, and distinguish a definite cancellation from an unconfirmed possibility.
Do not rely solely on a warehouse telling the driver there is no freight. The person coordinating transportation needs enough notice to stop or revise the assignment where possible.
Establish what the truck has already done
Confirm whether equipment was assigned, dispatched, or checked in and whether the carrier incurred waiting or additional movement. Preserve relevant timestamps and communications.
Ask how any proposed cancellation charge relates to other charges under the booking. Request the basis in writing so it can be evaluated against the accepted terms rather than an assumed industry amount.
Rebook using the new facts
If the load moves to another day, obtain a revised readiness confirmation and transport plan. Do not assume the original equipment remains reserved indefinitely.
To reduce avoidable cancellations, verify freight completion, release documents, loading access, and approval to ship before dispatch. Where uncertainty remains, tell the broker what is still pending and agree on when the truck can be released.
