A pallet exchange requirement can create a pickup problem even when the truck is otherwise suitable. The driver may be expected to bring empty pallets, collect replacements, or obtain a receipt. Make that requirement part of the booking rather than a surprise at the loading dock.
Define the pallet requirement
Specify dimensions, material, grade or condition criteria, and quantity. Explain whether pallets are exchanged at pickup, delivery, or both and whether like-for-like replacement is required.
Identify any pooled or rented pallet program and obtain instructions from its authorized participants. Do not assume branded pallets can be freely traded as ordinary disposable pallets.
Confirm who supplies the empties
Ask whether the carrier accepts the exchange arrangement and whether suitable empties must be sourced before arrival. Extra pallets consume space and add handling, so include them in the operating plan.
If a facility accepts an alternative payment or receipt, get that procedure approved in advance. A driver should not have to negotiate an unexpected pallet purchase while holding up the shipment.
Document what actually changed hands
Record the number and condition of pallets given and received. Establish who signs the receipt and where it is sent after pickup or delivery.
If the receiver provides fewer acceptable pallets than expected, identify the exception contact. Keep a pallet discrepancy separate from the product count so each can be reconciled accurately.
Include charges and return movements
Ask whether pallet sourcing, handling, shortages, or returning empties create additional charges. Clarify responsibility for those costs in the booking terms.
Send your exchange instructions along with the cargo, lane, and dates when requesting a quote. If the facility changes its pallet policy, update future bookings; a past shipment does not prove the same arrangement remains accepted.
