Freight Weighs More Than Quoted: What to Do Before the Truck Leaves

The truck is loaded, but the actual weight is higher than the quote request showed. The next step is to establish the correct figures and have the carrier review the loaded vehicle. Do not treat an equipment label or available floor space as confirmation that the shipment can depart.

Identify which weight changed

Distinguish product weight, total packaged cargo weight, and the weight of the complete vehicle combination. Collect the relevant scale tickets or other reliable records and check that units and shipment identifiers match.

Look for omitted pallets, crates, accessories, dunnage, or additional product. Correct the source data so the same error does not recur on the next load.

Have the carrier evaluate the load

The carrier must review applicable total and axle-group limits, equipment ratings, distribution, and route requirements. FHWA’s bridge-formula guidance explains why gross weight alone does not settle every weight question.

A load can require attention even when the total seems acceptable. Do not instruct the driver to proceed while the actual configuration remains unresolved.

Compare workable corrections

Depending on the situation, qualified personnel may need to revise the loading arrangement, remove part of the cargo, or use different equipment. Ask the carrier to identify acceptable options.

If freight is removed, confirm where it will stay, how it will be counted, and whether a separate shipment is required. Rehandling must also respect the product’s packaging and handling limitations.

Update the booking and paperwork

Confirm any revised rate, equipment, pickup or delivery time, and handling charges before proceeding. Amend the cargo weight and quantities on the relevant documents.

For future quotes, use verified packaged weights and label estimates clearly. If production cannot supply final weights until loading, flag that uncertainty early so the transport plan includes a confirmation step.
