Define what a trip includes
Identify both addresses, shipping units, typical weight, loading method, and the expected direction of product flow. Explain whether the truck returns empty, carries other freight back, or exchanges trailers.
Clarify whether the requirement is a fixed number of trips, a daily operating window, or transportation on request. Those arrangements allocate vehicle time differently and may produce different pricing.
Measure the handling cycle
Use realistic loading and unloading times from both facilities. Include gate queues, paperwork, and any time needed to stage inventory before the truck can depart.
For illustration, a short drive does not create a fast round trip if each warehouse takes an hour to turn the vehicle. Plan daily volume from the full cycle and leave room for predictable interruptions.
Match the equipment arrangement
Identify whether live loading is practical or whether trailer drops need evaluation. Confirm parking, yard access, dock compatibility, and responsibility for moving trailers within each site.
If several equipment units are needed, specify who provides them and how unavailable or damaged equipment is handled. A shuttle request should not assume a trailer pool exists unless it is part of the agreement.
Set dispatch and reconciliation rules
Name the person who releases each transfer and records what was collected and delivered. Use references that both warehouses recognize, especially if several transfers carry similar inventory.
Request a quote using expected trips, operating days and hours, cargo details, and realistic handling times. Ask about minimum commitments, additional trips, waiting, and volume changes before starting the service.
