Freight stored at a third-party warehouse may be physically present but not released for collection. The cargo owner, warehouse, and carrier need matching instructions. Confirm the release status before sending a truck, particularly when the seller and storage facility are different businesses.
Obtain the warehouse’s release reference
Ask the cargo owner to authorize collection through the warehouse’s required process. Get the order or release number the dock will actually use and the name of the party permitted to collect.
Confirm that any owner-side paperwork or account issue blocking release has been resolved. A seller’s invoice or purchase order may not be sufficient for the warehouse to hand over the goods.
Verify the final prepared inventory
Request piece counts, packaged dimensions, weights, commodity description, and photos if helpful. Check whether the goods are already palletized or require picking, packing, or another service before pickup.
If several inventory lots are being collected, identify them individually. Do not assume the transport-ready configuration matches the product description on the original purchase.
Book the facility’s pickup process
Confirm appointment requirements, loading hours, check-in cutoff, vehicle restrictions, and handling equipment. Identify who schedules the appointment and supplies the carrier’s details.
Ask whether the facility can load the proposed vehicle. A warehouse set up for dock-high trailers may need a separate plan for a smaller vehicle or unusual cargo.
Align changes across all parties
If quantities, carrier details, or pickup dates change, update the warehouse release as well as the transport booking. Establish an exception contact who can authorize corrections while the truck is onsite.
Request a quote with the release status, shipment details, facility rules, and destination schedule. Dispatch only after the collection instructions and actual cargo readiness have been reconciled.
