Define why the freight needs to wait
Establish the pickup deadline, earliest acceptable delivery, and expected length of storage. Distinguish a confirmed receiving date from an estimate that may move again.
Ask whether the freight must be unloaded into a facility or whether another approved holding arrangement is being considered. Occupying a trailer for several days and storing cargo inside a warehouse are different services.
Confirm facility acceptance
Provide commodity, packaging, dimensions, weights, value, and handling requirements. Identify temperature, sanitation, security, or hazardous-material considerations for the facility to evaluate.
Do not assume general warehouse space is suitable for every shipment. Obtain acceptance for the actual cargo, required conditions, and planned arrival before sending the truck.
Quote all handling and storage events
Ask how inbound unloading, storage time, inventory work, outbound loading, and onward transportation are charged. Confirm minimum periods, appointment requirements, and what happens if the storage duration extends.
Clarify custody, applicable coverage arrangements, and the process for reporting condition issues with the parties involved. The transportation quote should identify which storage services are included and which are separate.
Prepare the release before the cargo arrives
Assign an inventory reference and require a count and visible-condition record at receipt. Specify who authorizes release, where the freight goes next, and which documents the collecting carrier needs.
Send the broker both the immediate pickup requirement and the final destination schedule. Planning the second leg early reduces the chance of solving the first deadline while creating another urgent booking later.
