A seasonal increase in orders can overwhelm a transportation plan that works during ordinary weeks. The useful request is not simply “we may need more trucks.” Give the broker a dated picture of expected volume, known orders, and the decisions that will turn forecasts into bookings.

Separate confirmed freight from the forecast

Build a short lane list showing origin, destination, equipment requirements, expected shipment size, and ready dates. Mark which loads are confirmed and which remain estimates. Update the version as orders change.

Provide a realistic range where volume is uncertain. A hypothetical promotion might produce several confirmed loads and additional orders awaiting release. Presenting all of them as committed freight can create confusion about what should actually be booked.

Identify what the facilities can handle

Confirm daily loading slots, shipping hours, and the receiving windows at destination. Ask the shipping team how many loads can be prepared and released in each period without creating a queue.

Volume planning needs to account for packaging and staging as well as truck availability. If only part of an order is ready, tell the broker which shipments can move independently and which must stay together.

Create a clear release and escalation process

Name the person who can turn a forecast into a confirmed booking. Agree on the shipment information required at release and how last-minute changes will be communicated. Ask the broker to state what has been quoted, requested, and actually confirmed.

Set priorities with the business team before the peak arrives. Identify orders with fixed receiving commitments and those with flexible dates. The broker can evaluate options more effectively when the priority reflects the real customer requirement.

Compare the cost of available alternatives

Ask for options when available, such as different pickup dates or equipment that fits the actual freight. Evaluate the complete cost and service implications before approving a change.

For a capacity discussion, send the dated lane forecast, confirmed orders, equipment needs, facility constraints, and approval contacts. A forecast supports planning but does not itself reserve trucks. Keep confirmation status visible so the warehouse knows which pickups are ready to execute.
