Produce Shipping Checklist: What to Confirm Before Booking a Reefer

Produce shipping starts with the commodity’s requirements and the timing at both facilities. “Fresh produce” covers products with different handling, temperature, ventilation, and compatibility needs. A useful transportation plan names the product and follows the shipper’s written instructions.

The checklist below is for organizing the move. Product-specific requirements should come from the appropriate shipper or quality team.

1. Confirm exactly what is shipping

List each commodity, packaging type, pallet count, dimensions, and total weight. If the load contains multiple products, have the shipper confirm their compatibility and transport instructions.

Do not assume that two fresh products should travel under the same conditions simply because both move in refrigerated trailers.

2. Establish the real ready time

Confirm when the product will be packed, prepared, and available for loading. Provide any release process or purchase-order references needed at the shed or warehouse.

A date with no ready time leaves a large gap in the plan. If harvesting or packing timing can change, identify who will update the broker and how early that change can be communicated.

3. Share written transport instructions

Provide the required setpoint and any applicable operating-mode, ventilation, monitoring, sanitation, or loading instructions. Confirm responsibility for trailer preparation and product condition checks.

FDA identifies temperature control and contamination prevention among the measures addressed by its sanitary transportation framework. A general reefer booking should not substitute for the commodity-specific instructions.

4. Check the appointment chain

Verify pickup hours, delivery appointment, transit expectations, and receiving procedures together. Include time zones and any weekend restrictions.

For an illustrative shipment, a Friday pickup with a Monday receiving slot may require a different plan from an immediate weekend delivery. The transportation request should state the actual arrangement and any handling expectations during the interval.

5. Clarify unloading and documentation

  • Who arranges or pays any unloading service?
  • Which reference numbers does the receiver require?
  • Are seals or temperature records requested?
  • Who records exceptions at loading or delivery?
  • Who can respond if the receiver delays or questions the load?

Clear contacts matter when the driver is at a facility and a decision is needed.

6. Prepare an exception plan

Agree on communication if pickup readiness changes, the truck is delayed, or the receiver cannot accept delivery as scheduled. Product decisions should go to the authorized shipper or quality representative.

Keep instructions and changes documented so the parties are working from the same information.
