You have an interested shipper, a shipment that fits your experience, and a chance to earn the business. Then the account is not approved for the credit it needs.
For a freight agent, that can be frustrating. It also creates an important question: what is actually preventing the shipment from moving, and is there an approved way forward?
Clarify the decision
Ask the person responsible for credit whether the issue is missing information, the requested amount of credit, payment terms, an existing balance, or a declined account. Do not assume every hold has the same cause.
An incomplete application requires a different conversation from a fully reviewed account that was declined. Getting the reason clear helps you explain the next step accurately without promising a different outcome.
Describe the expected business accurately
Provide the information the credit reviewer requests. Explain the anticipated shipment frequency and billing amounts as accurately as you can. If volume is uncertain, say so.
A customer planning one shipment has a different exposure pattern from a customer tendering multiple loads before earlier invoices are paid. Discuss the expected operating pattern rather than focusing only on the first load.
Ask which options are actually permitted
Depending on the brokerage’s policies and the account, there may be a discussion about different payment arrangements, a lower initial volume, or a later review. Treat these as questions to ask, not options you can promise independently.
Do not book beyond an approved limit or tell a customer its credit is secured before receiving authorization. Keeping sales commitments aligned with actual approvals protects the working relationship.
Evaluate credit communication when comparing brokerages
If credit uncertainty is a reason you are exploring another agent opportunity, ask how account reviews and limit changes are communicated. Explain the types of accounts and shipment patterns you work with, using only information you are authorized to share.
Another brokerage should not be treated as an automatic approval. A productive conversation establishes the review process and the information needed to assess a potential account.
